Office Manager — Role Overview

This Office Manager role is critical to the efficient operation of the project office. You will be responsible for ensuring a productive work environment and providing comprehensive administrative support to senior management.

Office Manager — Responsibilities

You will be responsible for:

  • Managing staff travel and accommodation needs.
  • Attending meetings, documenting minutes, and distributing to relevant parties.
  • Ensuring employees have a suitable work environment.
  • Coordinating, managing, and ordering office supplies.
  • Managing holiday rotas for senior staff.
  • Managing the Administration, Payroll, and Time Management team.
  • Assisting with sensitive/commercial tasks within the business unit.
  • Organizing and maintaining data in spreadsheets and generating reports.
  • Managing office systems, procedures, and facilities.
  • Working with IT to ensure timely ordering of IT supplies and hardware, and managing IT equipment tracking.
  • Managing office-related service agreements.
  • Providing professional secretarial service to the senior leadership team, including client correspondence and presentation preparation.
  • Maintaining office policies in conjunction with HR.

Office Manager — Ideal Candidate

The ideal candidate will have:

  • 5+ years of proven experience as an administrative assistant supporting senior management in a busy office environment.
  • Qualification in Business, Level 5 or higher.
  • Experience working in a busy construction environment.
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint.
  • Excellent working knowledge of SAP.
  • Experience in processing high volume employee time management system.
  • The ability to work with confidential information in a professional & trustworthy manner.
  • Excellent organizational and multi-tasking skills.
  • The ability to work on your own initiative and as part of a busy team.
  • Ability to effectively manage time, prioritize tasks, and work within deadlines with little supervision.
  • Ability to take initiative, exercise good judgment, and be part of change management.
  • Ability to work in a fast-paced environment.
