Document Controller — Role Overview

This Document Controller position is critical to the smooth operation of a major project. The successful candidate will ensure the accurate and timely flow of project documentation, supporting project teams and stakeholders.

Document Controller — Responsibilities

You will be responsible for:

  • Gathering information for project implementation.
  • Documenting project details.
  • Managing document control software systems (BIM 360, ACC, Procore, CX Alloy, Asite).
  • Ensuring timely distribution of documents and drawings.
  • Distributing drawing transmittals, reviews, RFIs, and submittals.
  • Submitting documents and creating transmittals.
  • Performing quality checks on incoming drawings and documents.
  • Implementing and checking project naming conventions.
  • Tracking pending documents and notifying stakeholders.
  • Exporting files in required formats.
  • Maintaining controlled document registers.
  • Updating the master document register (MIDP).
  • Administering BIM360 (or other project platform): adding members and licenses.
  • Implementing, uploading, and managing the O&M file.
  • Controlling the project platform and the client platform.
  • Assisting with administration duties, SOP development, and training.
  • Producing reports for PM, Client, and BI.
  • Performing data entry and running reports in SAP.
  • Maintaining up-to-date org charts.
  • Taking meeting minutes as required.
  • Liaising with the Scheduler, Safety Manager, Client, and project team.
  • Developing and maintaining filing systems.

Document Controller — Ideal Candidate

The ideal candidate will possess:

  • Strong administration experience
  • Minimum 2 years of relevant experience
  • Fluency in English
  • PC literacy with Microsoft Word, Excel, and Outlook proficiency
  • Ability to manage site paperwork
  • Excellent telephone manner
  • Attention to detail
  • Ability to multitask and work under pressure
  • Strong interpersonal and organizational skills
  • Excellent communication skills

Desirable:

  • Experience in the construction or engineering industry
  • Experience using document management systems like BIM360 / ACC
  • SAP experience
  • Proficiency in the local language
