Site Administrator — Role Overview

This Site Administrator role is crucial for maintaining smooth operations on a busy construction site. The successful candidate will manage documentation, track personnel, and provide essential support to the project team.

Site Administrator — Responsibilities

You will be responsible for:

  • Reviewing and reporting on Filekey structure compliance.
  • Developing and maintaining filing systems.
  • Collating and filing personnel documentation, including Safe pass/CSCS cards.
  • Collecting and collating information for management reports.
  • Maintaining stationery levels and stock.
  • Maintaining an up-to-date org chart.
  • Performing document control duties when required.
  • Tracking site personnel movements for weekly reports.
  • Requesting and printing project permits from the Eida system.
  • Scanning sign-in sheets to the project file.
  • Tracking staff holidays.
  • Requesting Dirty Works permits.
  • Creating SAP orders.
  • Ordering and tracking plant through the Fleet Tool.
  • Developing progress reports.
  • Assisting with O&Ms and handover documentation.
  • GRN all received site materials.
  • Organising access/visitor badges using the E: Sipp machine.
  • Getting test packs signed off and uploaded to the Eida system.
  • Providing general administrative assistance.
  • Supporting the Site Project Manager, Project Director, and Business Unit Director.
  • Handling general site team queries.
  • Monitoring and inputting hours on timesheets.
  • Arranging meetings on-site and taking minutes.
  • Maintaining databases.
  • Filing site paperwork.
  • Monitoring and checking sign-in sheets and delivery dockets.
  • Performing general administrative office duties (filing, typing, photocopying, couriers, faxing).
  • Managing time administration.
  • Documenting project details.
  • Notifying stakeholders for action on pending documents.
  • Exporting files in the required format.
  • Organising employee inductions (on and off-site).
  • Liaising with inductees regarding procedures and documentation.
  • Liaising with departments and subcontractors regarding procedures and documentation.
  • Arranging on-site meetings and booking visitors.
  • Performing all other duties associated with the role.

Site Administrator — Ideal Candidate

The ideal candidate will have:

  • Strong administration skills with a minimum of 2 years' experience.
  • PC literacy with competency in Microsoft Word, Excel, and Outlook.
  • Ability to liaise and manage all site paperwork.
  • Excellent telephone manner.
  • Attention to detail.
  • Ability to multitask and work under pressure.
  • Strong interpersonal and organizational skills.
  • Pride in the quality and presentation of work.
  • Excellent communication skills.
  • Experience in the construction or engineering industry (advantageous).
  • SAP experience (advantageous; training will be provided).
