Site Administrator — Role Overview

As Site Administrator, you will play a vital role in supporting the project team in Frankfurt. You will be responsible for a wide range of administrative, office management, and communication tasks, ensuring the efficient operation of the site.

Site Administrator — Responsibilities

You will be responsible for:

  • Managing timesheet administration, ensuring accurate payroll processing.
  • Overseeing office supplies, consumables, and equipment.
  • Coordinating travel and accommodation for site staff.
  • Managing staff apartments and liaising with property agents.
  • Facilitating communication between site teams, HR, and other departments.
  • Maintaining trackers and generating reports for senior management.
  • Organizing team-building activities and promoting employee well-being.
  • Assisting the business unit management team on sensitive tasks.
  • Managing the Administration, Payroll and Time Management team.
  • Maintaining office policies and ensuring compliance.

Site Administrator — Ideal Candidate

Essential:

  • Qualification in Business, Level 5 or higher
  • Experience working in a busy construction environment.
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint
  • Excellent working knowledge of SAP
  • Experience in processing high volume employee time management system
  • The ability to work with confidential information in a professional & trustworthy manner.
  • Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner.
  • The confidence to respond to all enquiries effectively and professionally to the Senior Leadership team.
  • The ability to work on your own initiative and be an integral part of a busy team.
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision.
  • Ability to take initiative and exercise good judgment and be part of change management.
  • Ability to work in a fast-paced environment.
  • Driving Licence is required
  • Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years.
