Document Controller — Role Overview
This is a site-based Document Controller position at the heart of a major data centre build. You will manage the complete document lifecycle—from distribution and version control to reporting and compliance—ensuring seamless information flow across a complex, multi-stakeholder project.
Document Controller — Responsibilities
• Manage document distribution and tracking to ensure all stakeholders access current versions of drawings, schedules, specifications, contracts, submittals, RFIs, and reports
• Maintain and update project registers including document register, RFI register, action log, and issue log
• Ensure all project documentation adheres to company standards and the Integrated Management System (IMS)
• Analyse and summarise data from project logs, flagging outstanding actions and overdue items
• Generate regular reports on document status and overdue items to support project tracking
• Coordinate with engineering, construction, and subcontractor teams to maintain information flow
• Implement version control protocols and audit trails for compliance and quality assurance
Document Controller — Ideal Candidate
Essential:
• Minimum 2 years' experience in a site-based document control role on construction or engineering projects
• High-level verbal and written English
• Excellent organisation and interpersonal skills
• Advanced IT skills, particularly Microsoft Office Suite
Desirable:
• Experience with knowledge-sharing applications (SharePoint, Aconex, Procore, or similar)
• Previous data centre, pharmaceutical, or cleanroom construction exposure
• Understanding of IMS (Integrated Management System) requirements
• Finnish or Swedish language skills
