Document Controller — Role Overview
This Document Controller role is vital to ensuring the smooth flow of information on a complex construction project. You will be responsible for maintaining accurate records, managing document control systems, and distributing information to the project team and client.
Document Controller — Responsibilities
You will be responsible for:
- Ensuring the timely distribution of documents & drawings to project personnel.
- Working in accordance with company procedures & guidelines.
- Managing the document control software system, ensuring all parties receive adequate training and then use the system.
- Distributing drawing transmittals and submittals to the client.
- Receiving and performing full quality checks of all drawings and documents transmitted by the lead consultants.
- Returning quarantined documents to the issuer for full correction and re-issue.
- Maintaining controlled document registers and associated documentation.
- Assisting with day-to-day activities, including administration duties, helping develop SOPs, training, and document creation.
- Producing different reports for Project Managers and the Client.
- Implementing and checking the naming convention on the project as per the company and project requirements.
- Tracking pending documents through weekly progress reports.
- Updating the master document register (MIDP) on a daily basis.
- Implementing, uploading, and managing the O&M file on the project and transferring all the information to the client platform as per the project requirements.

Essential:
- Strong Administration experience
- Fluent in English
- PC literate with competency in Microsoft Word, Excel, and Outlook
- Attention to detail
- Ability to multitask and work under pressure
- Strong interpersonal and Organisational skills
- Pride in the quality and presentation of work
- Excellent communication skills
Desirable:
- Experience in the construction or engineering industry
- Experience using document management systems: BIM360, ACC, Procore, Asite
- Proactivity and team player
