Document Controller — Role Overview
As a Document Controller, you will be responsible for managing and distributing project documents and drawings, ensuring accuracy and timely delivery to project personnel. Your role is crucial for maintaining organized and accessible project information.
Document Controller — Responsibilities
You will be responsible for:
- Gathering information for new projects and documenting project details.
- Managing document control software systems (BIM 360, ACC, Procore, CX Alloy, Asite) and providing user training.
- Ensuring timely distribution of documents and drawings to project personnel.
- Distributing drawing transmittals, reviews, RFIs, and submittals to clients, designers, and subcontractors.
- Submitting documents and creating transmittals.
- Performing quality checks on incoming drawings and documents.
- Implementing and checking naming conventions as per project requirements.
- Tracking pending documents through weekly progress reports and notifying stakeholders.
- Managing and tracking the time management system and reporting regularly.
- Maintaining controlled document registers and associated documentation.
- Updating the master document register (MIDP) daily.
- Administering BIM360 (or other project platforms): managing member licenses and adding new companies.
- Implementing, uploading, and managing O&M files and transferring information to client platforms.
- Producing reports for Project Managers, clients, and Business Intelligence.
- Performing data entry and running reports in SAP.
- Maintaining up-to-date organizational charts.
Document Controller — Ideal Candidate
Essential:
- Minimum 2 years of relevant document control experience
- Fluent in English
- Proficient in Microsoft Word, Excel, and Outlook
- Strong interpersonal and organizational skills
- Excellent communication skills
- Ability to multitask and work under pressure
- Strong attention to detail
Desirable:
- Experience in the construction or engineering industry
- Experience using document management systems like BIM360 / ACC
- SAP experience
- Proficiency in the local language
